Terms and Conditions of Booking – KARIBA BOOKINGS

1. Pricing & Fees
1.1. All tour package prices are subject to fluctuation based on availability, demand, and seasonal variations. Prices are not guaranteed until a deposit is paid and written confirmation is issued.
1.2. All quoted prices include Value Added Tax (VAT) or equivalent local taxes, unless otherwise stated.
1.3. A Destination Fee may apply to certain tours to cover local tourist taxes, conservation levies, or mandatory service charges. This will be clearly itemized in your final invoice prior to full payment.

2. Booking, Payment & Security
2.1. Booking Guarantee: All bookings must be guaranteed. For standard "Best Available Rate" tours, a deposit is required (see 2.2). For Advance Purchase or Promotional Rates, full prepayment is required at the time of booking.
2.2. Deposit: A non-refundable deposit of 50% of the total tour price is required within 72 hours of quotation to confirm a standard booking.
2.3. Final Payment: The outstanding balance is due no later than 2 weeks (14 days) before the tour departure date. Bookings are not secured until final payment is received in cleared funds.
2.4. Accepted Payment Methods: We accept bank transfers, credit/debit cards (Mastercard , Visa), and cash by prior arrangement. Card payments may be subject to processing fees.
2.5. Failure to Pay: The Company reserves the right to cancel any booking without full payment or a verified guarantee (e.g., purchase order) by the final payment deadline.

3. Special Rate Policies
3.1. Advance Purchase / Promotional Rates: These rates require full prepayment at the time of booking. They are non-refundable, non-transferable, and non-changeable under any circumstances.
3.2. Identity Verification: For security and to prevent fraud, the lead client must present the credit/debit card used for booking and a valid passport or government-issued photo ID at the tour commencement.


4. Cancellation by the Client
4.1. All cancellations must be received by the Company in writing (email accepted). The following fees apply based on the date written notice is received:

4.2. Peak Season & Special Events: For tours during peak seasons, festivals, or special events, stricter cancellation policies (e.g., 100% non-refundable 60 days prior) may apply. This will be clearly communicated and acknowledged at the time of booking.
4.3. Travel Insurance: We strongly recommend that all clients purchase comprehensive travel insurance with cancellation cover at the time of booking.

5. Amendments by the Client
5.1. Requests for significant amendments (e.g., date change, destination change) must be made in writing.
5.2 .Amendments are subject to availability and any rate differences. A standard administration fee of [e.g., $50] per booking may apply.
5.3 .Postponements requested less than 14 days before departure will be treated as a cancellation and re-booking, subject to the fees in Section 4.

6. Cancellation or Changes by the Company
6.1 .The Company reserves the right to cancel or significantly alter a tour due to Force Majeure (e.g., natural disasters, political unrest, pandemic) or if minimum participant numbers are not met.
6.2. In such cases, we will offer: (a) a comparable alternative tour, or (b) a full refund of monies paid directly to the Company.
6.3. The Company is not liable for incidental expenses (e.g., visas, non-refundable flights) incurred by the client.

7. Client Responsibilities, Damage & Conduct
7.1. Documentation & Insurance: Clients are solely responsible for possessing valid passports, visas, vaccinations, and comprehensive travel insurance.
7.2. Damage to Property: You are liable for any damage caused to accommodation, transport, or other facilities during the tour. You authorize us to charge the credit/debit card provided for any such damages, specialist cleaning, or missing items.
7.3. Conduct: The Company may terminate a client's tour, without refund, for disruptive, unlawful, or dangerous behavior. All resulting costs (e.g., repatriation) will be the client's responsibility.

8. Tour Logistics: Arrival, Departure & Services
8.1. Start & End Times: Specific joining instructions, including the tour start time and location, will be provided. It is the client's responsibility to be present at the designated time and place.
8.2. Accommodation Check-in/out: For included accommodation, standard check-in is usually from 2:00 PM and check-out by 11:00 AM. These times are set by the hotel and may vary.
8.3. Included Services: The tour includes only those services explicitly listed in the final itinerary. Meals, entrance fees, etc., are only included where stated.

9. Limitation of Liability
9.1. The Company acts as an agent for independent suppliers (hotels, carriers, etc.). We are not liable for their acts, omissions, or failures.
9.2. Our maximum liability is limited to the total tour price paid. We are not liable for indirect or consequential losses.

10. General
10.1. Agreement: These Terms, together with the confirmed itinerary, constitute the entire agreement. This quotation is not binding until confirmed by the Company post-deposit.
10.2. Jurisdiction: Any dispute shall be governed by the laws of Zimbabwean Jurisdiction.
